This Privacy Policy applies to all products operated by Movemetric, collectively referred to as the "Movemetric Suite":

• ClassMetrics — Fitness assessment and roster management
• ClassMetrics HR — Heart-rate monitoring and MVPA documentation
• CoachSAGE — Video movement analysis for coaches and PE teachers
• Basal — Adaptive macro and energy tracking
• FitAI — AI-powered wellness coaching
• FieldTracker — Field experience management for teacher education programs
• PracticeSphere — Practice planning and team management for PE programs
• Reference Freshness Checker — Curriculum and reference material review tool

By accessing or using any product in the Movemetric Suite, you agree to the collection and use of information as described in this policy. If you do not agree, please discontinue use of our products.

Movemetric products are designed for use in educational settings. We take student privacy seriously and comply with applicable federal and state laws governing the privacy of student data.

Each tool in the Movemetric Suite has a specific purpose and associated data profile. The following describes the data practices particular to each product.

Across the Movemetric Suite, we may collect the following categories of information:

Account Information
When you create an account, we collect your name, email address, institution or organization name, and role (e.g., teacher, program administrator). This information is used to authenticate your account and personalize your experience.

User-Entered Content
Information you enter into any Movemetric tool — including rosters, assessment scores, practice plans, field placement records, and coaching inputs — is treated as user content. You retain ownership of this content.

Student and Third-Party Records
When educators enter student data (names, performance records, heart-rate data) into Movemetric tools, that data is handled as described in each tool's section above and under our FERPA policy. Movemetric acts as a service provider to the institution, not as an independent data controller of student records.

Usage Data
We automatically collect certain technical information when you use our products, including browser type, device type, IP address, page views, and feature interactions. This data is used to monitor performance, diagnose errors, and improve the product.

Cookies & Local Storage
Movemetric tools use browser local storage and session cookies to maintain your login state and remember tool preferences. We do not use third-party advertising cookies.

We use the information we collect to:

• Provide, operate, and maintain the Movemetric Suite of products
• Authenticate users and secure accounts
• Generate reports, assessments, and recommendations within each tool
• Respond to support requests and communicate important product updates
• Analyze anonymized usage patterns to improve product design and reliability
• Comply with legal obligations

We do not use student data to build advertising profiles, train commercial AI models without consent, or sell insights derived from student records to any third party.

Movemetric does not sell personal information. We may share information only in the following circumstances:

• With your institution: Data entered by educators may be accessible to authorized administrators at the same institution.
• With service providers: We work with trusted vendors (e.g., cloud hosting, email delivery) who process data on our behalf under confidentiality agreements and are prohibited from using data for their own purposes.
• For legal compliance: We may disclose information when required by law, subpoena, or other legal process, or to protect the rights, property, or safety of Movemetric, our users, or the public.
• With your consent: We may share information in other ways if you explicitly authorize us to do so.

Movemetric stores data on servers located in the United States. We implement reasonable administrative, technical, and physical safeguards to protect your information, including:

• Encrypted data transmission (TLS/HTTPS) for all product communications
• Access controls limiting data access to authorized personnel
• Regular security reviews and vulnerability assessments
• Secure session management and authentication practices

While we take security seriously, no system is completely secure. We encourage users to use strong passwords and to report any suspected unauthorized access to support@movemetric.org.

Data Retention: We retain user account data and user-entered content for as long as your account is active or as needed to provide services. Upon account deletion or institutional contract termination, we will delete or anonymize data within a reasonable period, except where retention is required by law.

FERPA (Family Educational Rights and Privacy Act)

Several Movemetric tools — particularly ClassMetrics, ClassMetrics HR, FieldTracker, and PracticeSphere — are designed for use in educational institutions that may be subject to FERPA. When schools or universities use Movemetric products to store or manage education records, Movemetric acts as a "school official" under FERPA, processing student data under the direction of the institution.

Institutions are responsible for determining whether their use of Movemetric tools is consistent with their FERPA obligations. Movemetric does not access, use, or disclose student education records except as authorized by the institution or required by law.

COPPA (Children's Online Privacy Protection Act)

Movemetric products are not directed to children under 13 for independent use. Our tools are designed for use by educators and program administrators, who are responsible for managing any data related to students in their care.

Movemetric does not knowingly collect personal information directly from children under 13. If a school or educator enters data about students under 13 into a Movemetric tool, the educator acts as the responsible party, and such data is handled under the school's authority consistent with COPPA's school official exception.

If you believe we have inadvertently collected personal information from a child under 13, please contact us immediately at support@movemetric.org and we will take prompt action to remove it.

Depending on your location and applicable law, you may have the following rights with respect to your personal data:

• Access: Request a copy of the personal information we hold about you.
• Correction: Request correction of inaccurate or incomplete data.
• Deletion: Request deletion of your personal data, subject to certain legal exceptions.
• Portability: Request an export of your data in a structured, machine-readable format.
• Opt-out: Opt out of non-essential communications at any time by following unsubscribe instructions in any email.

For student data governed by FERPA, rights of access and correction belong to the student (or parent/guardian if the student is under 18) and must be exercised through the educational institution.

We may update this Privacy Policy from time to time to reflect changes in our practices, legal requirements, or product offerings. When we make material changes, we will update the "Last updated" date at the top of this page and, where appropriate, notify users via email or in-app notice.

Continued use of Movemetric products after a policy update constitutes your acceptance of the revised terms. We encourage you to review this page periodically.
